Operations Manager

Position Overview

Plan C Pills is seeking an Operations Manager to oversee operations, finances, and systems management for the Plan C Project. The Operations Manager will liaise with the fiscal sponsor and report to Plan C’s Co-Director.  The Operations Manager must be able to support both financial and systems operations, serving as a strategic advisor to the Co-Directors on the organization’s budget and operations policies, as well as a tactical implementer of systems and processes. The Operations Manager is responsible for managing the organization’s day-to-day functions and systems of administration, including finances and database management, HR and contracts support, IT support, document filing, and documentation of processes, donations and programmatic elements.

Plan C is a public health creative campaign on abortion pill access, started in 2015 by a small team of veteran public health advocates, researchers, social justice activists. About Possibility Labs (PL)

BIPOC-led movements and power building initiatives, as well as funders and donors who want to fund BIPOC-led social movement groups, need effective and values aligned infrastructure to gather and deploy money at the speed and scale necessary to build the power needed to create a world where BIPOC and historically low-income communities have self-determination, clean air, clean water, and clean energy. Possibility Labs’ mission is to accelerate and empower community-driven solutions that are built, led, and governed by and for low-income and BIPOC communities, by providing the essential financial and legal infrastructure to manage and move integrated capital to BIPOC-led movement groups. We aim to advance racial, gender, and climate justice, and a new economy where everyone thrives.

Core Responsibilities:

Expense and Invoice Management (30%)

  • Liaise with the Fiscal Sponsor to manage financial workflows.
  • Oversee invoice submissions, vendor/consultant payments, reimbursements, and General Ledger reconciliation.
  • Track expenditures weekly, manage receipts, and reconcile monthly statements.
  • Manage billing for ads, software, travel, and reimbursements.
  • Reconcile monthly statements from Fiscal Sponsor.
  • Be able to provide timely, up-to-date, and simplified financial overviews on actuals vs projected expenses and budgets.
  • Utilize the Accounts Payable system in collaboration with a Plan C Director to track and approve invoices.

Budget Management and Oversight (25%)

  • Coordinate with the Fiscal Sponsor to provide budgetary input for strategic planning, fundraising, and partnerships.
  • Collaborate with leadership and team members to define and track departmental budgets, ensuring clarity on timelines and annual reporting.
  • Oversee campaign budget reporting, tracking allocations by department, and answering team budget inquiries.
  • Enhance internal budgeting processes and train team members on coding, travel reports, and expenditure tracking.
  • Serve as point person for budget questions, updates, and team reporting.

System Creation and Maintenance (25%)

  • Develop and maintain streamlined systems to support campaign operations, ensuring ease of use and accessibility for the team.
  • Design tools and workflows for budget tracking, expense reporting, and consultant management to increase efficiency and accuracy.
  • Create and manage a centralized information hub to house essential resources, policies, and updates tailored to team and campaign needs.
  • Regularly assess and optimize operational systems, soliciting team feedback and integrating improvements as needed.
  • Provide training and documentation to ensure all team members understand and adhere to established processes.

Contract Management and Team Support (15%)

  • Oversee contracts and conflict-of-interest declarations for vendors and consultants.
  • Support Co-Directors with recruitment, onboarding, and professional development opportunities.
  • Develop and update Standard Operating Procedures (SOPs) covering policies such as Security/Privacy, Travel, Billing, and more.
  • Provide ongoing support to consultants and vendors, ensuring compliance with campaign protocols and expectations.

Other (5%)

  • Perform other duties as assigned to support organizational objectives.

Supervisory Responsibility

The Operations Manager coordinates with consultants and vendors and manages the relationship with the Fiscal Sponsor.

Expected hours of work

Standard Plan C Pills office hours are Monday through Friday, 9 a.m. to 5 p.m. While expected to be available during the regular office hours, the daily schedule is flexible and will be decided in consultation with the supervisor and based on the scope of work and organizational needs.

Travel

No significant travel expected.

Essential Knowledge, Skills and Experience

Experience: 5-7 years in budgeting, financial coordination, operations support, or system development roles.

Skills: Strong organizational, analytical, and communication skills; attention to detail with the ability to manage multiple priorities.

Technical: Proficiency in financial tools (e.g., QuickBooks or similar software), Google Workspace, and Microsoft Office Suite.

Values: Commitment to social justice, autonomous working, creating efficient systems, and continuous learning.

Position Type and Compensation

100% FTE, exempt, salaried position. Annual gross pay is $85K-105K dependent on experience (@100%FTE).

Regular employees working 30 or more hours per week are eligible for medical,

dental, and vision benefits.

PL’s 100% FTE benefits package includes but is not limited to the following:

  • 20 days of vacation leave per year;
  • 14 standard holidays and 2 personal days per year;
  • 12 sick days per year;
